SHS is a consumer reporting agency, as that term is defined in the Fair Credit Reporting Act, 15 U.S.C. § 1681 (“FCRA”), and as such conducts various types of consumer background checks. Any personal identifying information you provide is voluntary and may be used by Safe Hiring Solutions to fulfill a request made by you, contact you regarding an employment query or contact your business for marketing purposes. We may also send emails regarding company news, updates or service information. If at any time you wish to unsubscribe from future emails, we include detailed unsubscribe information at the bottom of each email. By using our websites, you consent to the data practices described in this statement.
SHS is actively engaged and committed to ensuring our systems and data are secure. Once we receive personally identifiable information, we take steps to protect its security on our systems and in our physical office. In the event we request or transmit sensitive information, such as Social Security numbers or credit card information, we use industry standard secure socket layer (SSL) encryption.

Safe Hiring Solutions values your privacy. We do not collect personally identifying information except when specifically, and knowingly provided by users who submit forms or send us email. Log Files
The private Safe Hiring Solutions client portal is secured and only available to authorized client users. Safe Hiring Solutions logs information about a user’s IP address, browser type and the current URL, and logs usage throughout the site for security purposes. These log files are stored in a secure location and used in our internal analysis of user logs within our system.
Personal Information Collected for the Purpose of Employment Screening and/or Business Due Diligence
You may be asked for your personal information by a potential employer or business partner in order to facilitate background screening for the purpose of employment or due diligence. This personal information may be relayed or directly input by yourself to Safe Hiring Solutions for collection as part of contracted services.

Safe Hiring Solutions provides information about data subjects only to our clients and agents, such as third-party subcontractors of Safe Hiring Solutions who are contractually authorized to receive such information for limited and specified purposes only. Employee and Applicant Information
Safe Hiring Solutions may collect information from employees and job applicants to perform background screening functions. Individuals will be informed of the purposes for which Safe Hiring Solutions collects and uses the personal information.
Safe Hiring Solutions will provide you with the choice and means, if any, for limiting the use and disclosure of personal information when required, in accordance with federal and state laws. Disclosures or notices will be provided in clear and conspicuous language when individuals are first asked to provide personal information to Safe Hiring Solutions, or as soon as practicable thereafter, and in any event before Safe Hiring Solutions uses or discloses the information for a purpose other than for which it was originally collected.
We strictly limit access to PII to those employees who need access in order to carry out their job responsibilities. All our employees and contractors are carefully screened and properly trained to ensure privacy and integrity of all information is protected. Employee and/or applicant information will never be used for any purpose other than it was originally intended, will not be sold, and never be used for marketing purposes. It will only be shared with third parties when necessary and as needed for the completion of background check or Services.
Consumer Information
Safe Hiring Solutions may disclose personal information on consumers to third parties in connection with the business transaction and purpose for which it was collected. Third party disclosure of the personal information may include the requesting client company, institutions, employers, courts, law enforcement agencies, third party agents, and other persons, businesses or government agencies as necessary for Safe Hiring Solutions to complete a background check services.
Safe Hiring Solutions does not sell or market the personal information of job applicants, employees or data report subjects.
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the relevant activity, but not longer, or as long as is set out in any relevant contract held with us.
We will retain the personal information we process on behalf of our Clients for as long as required by law and as long as required to provide services to our Clients. Safe Hiring Solutions will retain this personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. While Safe Hiring Solutions has implemented technical, physical and administrative security measures to help protect against the loss, theft, misuse and unauthorized access of your information that we collect from you on behalf of our Clients, we cannot guarantee that our Clients will in like manner follow the terms set forth within this privacy policy and can therefore not be held liable for a Client’s actions.

SHS does not sell, lease or rent your information or its customer lists to third parties.

Third Party Service Providers working on our behalf
We may pass your information to our third-party service providers, agents, sub-contractors and other associated organizations for the purposes of completing tasks and providing Services to you or on your behalf (for example to process payments, arrange deliveries or provide a specific record check). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the Service all such third parties are prohibited from using your personal information except to provide those services to SHS. In addition, SHS requires such third party providers to maintain the confidentiality and security of your information and not to use your PII for their own direct marketing purposes.
Information sources outside of the United States may be contacted, at the client’s request, in order verify information claimed by an applicant which took place outside of the United States. All personal information will be transmitted and stored in a secure manner in accordance with the terms of this Privacy Notice. In the case of international searches, personal information may be transferred to other countries, including countries that have inadequate privacy laws according to the European Commission or other data protection commissions and/or government authorities.
We may transfer your personal information to a third party if we’re under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.
Security
SHS secures your personal information from unauthorized access, use, or disclosure. We recognize the importance of security for all PPI collected by our Website. Once we receive PPI (including credit card information or Social Security Numbers), we take steps to protect its security on our systems.
Information provided to SHS is encrypted both “in transit” (when the data is electronically transmitted over the internet) and while “at rest” (when data is stored on a server’s hard disk or other electronic storage medium). The connection to this site is encrypted and authenticated using TLS 1.2, ECDHE_RSA with P-256, and AES_256_GCM and is secured via https utilizing an SSL certificate, which is industry-standard operating procedure.
SSL stands for Secure Sockets Layer, a global standard security technology that enables encrypted communication between a web browser and a web server, significantly increasing the protection of personal information.
We strive to take appropriate security measures to protect against unauthorized access to or alteration of your personal information. Safe Hiring is hosted on Microsoft Azure and conducts regular penetration testing and SOC2 compliant. SOC2 is an auditing procedure that ensures service providers securely manage data to protect the interests of and privacy of clients.
We limit access to PPI to those employees who need access in order to carry out their job responsibilities.
When we dispose of PPI collected through this Website, we use procedures to dispose of personal information by means such as shredding documents and erasure of electronic media that information cannot be practicably read or reconstructed.
The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone. We urge you to be careful about giving out information in public areas of the Website like message boards. The information you share in public areas may be viewed by any user of the Website.
Unfortunately, no data transmission over the Internet or any wireless network can be guaranteed to be 100% secure. Transferring your information outside of the United States
As part of the Services offered from Safe Hiring Solutions for international criminal, education or employment purposes, the information which you provide to us may be transferred to countries outside the United States. These countries may not have similar data protection laws to the United States. By submitting your personal data, you’re agreeing to this transfer, storing or processing. If we transfer your information outside of the US in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy. If your data is transferred outside of the US it will be done so to allow us to perform any contractual obligations that are required to provide the services, you or (your employer/potential employer) has requested from us.
Security Precautions in Place
When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information is encrypted and protected while in transit with 256 Bit SSL encryption. When you are on a secure page, a padlock icon will appear on the address bar of web browsers such as Google Chrome.
Our Websites are scanned on a regular basis for known vulnerabilities including regular malware scanning. Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have authorized access to such systems and are required to keep the information confidential. Safe Hiring Solutions cannot ensure or warrant the security of any information you transmit to us by e-mail, and you do so at your own risk.
Where we have given (or where you have chosen) a password which enables you to access certain parts of our Websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone and we also recommend you change your password regularly.
Security breach notification
Safe Hiring Solutions shall give notice to each organization administrator when the organization’s user information was, or it is reasonably believed to have been, inappropriately accessed as a result of a security breach. Said notice shall be made immediately upon confirmed discovery of the breach (including fulfilling our obligation under the GDPR to notify the ICO within 72 hours) and the time necessary such as to allow Safe Hiring Solutions to determine the scope of the breach, to identify organizations and individuals affected by the breach, and to restore reasonable integrity of the data system that was breached.
Additional Information for Canadian Users
This Policy applies to customers, users and applicants in both Canada and the United States. However, to the extent that this Policy is inconsistent with any applicable Canadian laws, Safe Hiring Solutions will comply with the applicable law for customers, users and applicants in Canada. For example, Safe Hiring Solutions will only send commercial electronic messages to persons located in Canada with explicit, opt-in consent, unless otherwise permitted pursuant to Canadian legislation that is applicable to such activities.
Applicants who are located in Canada should also understand that the nature of the Services will involve Safe Hiring Solutions obtaining potentially sensitive personal information about them, including consumer reports, criminal record, driving record, as well as education and employment records, from third parties such as consumer reporting agencies, police services and government agencies (e.g., provincial transportation ministries).
Safe Hiring Solutions will also share Applicants’ personal information with a third party service provider in Canada, for the purpose of completing or facilitating the background checks described in this Policy.
In addition, personal information that is collected in the course of providing the Services will be transferred outside Canada. Therefore, such information may be accessible to law enforcement and national security authorities in the jurisdiction(s) where it is stored or processed.
